Purpose of Collecting Personal Information

The term “Personal Information” encompasses any data pertaining to an identified or identifiable individual. Our sole objective in collecting your personal information is to facilitate the provision of services such as GCMS, CBSA, CSIS, or Entire File. We want to assure you that we never engage in the sale of our users’ personal information for financial gain.

Types of Personal Information We Collect

Our collection of personal information is solely focused on providing you with efficient GCMS, CBSA, CSIS, or Entire File services. To ensure a streamlined process, we gather only the essential details, including your name, date of birth, email address, UCI, File number, and visa type.

Rest assured, we do not require a copy of your passport during the order processing stage. However, it’s important to note that government institutions may request a copy for Identity Verification purposes once they commence processing your order. Each government institution has its own criteria for satisfactory identification based on associated risks. For instance, CSIS mandates Identity Verification. Other institutions may adopt a risk-based approach with varying requirements. Should there be a request for a copy of your passport or any other identification form, we will promptly notify you via email.

Access to Your Personal Information

Only authorized members within our organization, who require access to process your order, are granted permission to view your personal information. This restricted access ensures the utmost confidentiality and security of your data.

When you choose to use our services, we prioritize your peace of mind. We want to assure you that we have a strict policy against selling or trading your information for any commercial purposes. Your personal information is safeguarded with the highest level of integrity and privacy.

Ensuring the Security of Your Personal Information

We have implemented robust measures to safeguard the privacy of all our records, including your personal information. Our stringent safeguards are meticulously designed to prevent any unauthorized access, disclosure, loss, theft, copying, or modification of your valuable data.

To fortify the security of your personal information, we employ a range of technical measures such as passwords, audit trails, SSL encryption, firewalls, and other advanced security protocols. These measures work in tandem to establish a comprehensive shield against any potential threats.

In addition, we conduct regular audits to proactively assess and enhance the security of all our services. This proactive approach ensures that our security practices remain up to date and in line with industry standards, providing you with peace of mind regarding the protection of your personal information.

Usage of Consent Form

Please note that the consent form you submit for ordering your GCMS, CBSA, CSIS, or Entire File will not be reused if you decide to place a subsequent order in the future. To adhere to industry standards in managing personal information, it is essential that we receive a new consent form each time you make an order with us.

Retention and Disposal of Personal Information

To prioritize your privacy, we have established protocols for the retention and disposal of records containing personal information. Once the information is no longer necessary, we take appropriate measures to erase or destroy these records in a manner that ensures the ongoing protection of your privacy.

As part of our commitment to your security, we remove your file from our server after a period of 30 days. This additional step further enhances the safeguarding of your personal information.

Usage of Cookies

We want to assure you that we do not store any cookies in your browser while constructing our website. However, please note that certain third-party services we utilize, such as Stripe.com, PayPal.com, YouTube.com, Twitter.com, and Cloudflare.com, may have the capability to store cookies.

Preventing Fraud

Safeguarding against fraudulent activities begins with your vigilance. Take advantage of valuable free resources that can assist you in identifying, rejecting, and reporting instances of fraud.

One common form of fraud, known as email fraud or phishing, involves deceptive emails that aim to obtain your sensitive personal or financial information. At GCMSFriend.com, we prioritize your security, and we will never request your banking details, credit card information, or any other sensitive financial data via email. To help you differentiate between genuine emails and phishing attempts, our email communications include a security footer message. If you receive an email purportedly from GCMSFriend.com and are uncertain of its authenticity, refrain from clicking any embedded links. Instead, kindly forward any suspicious emails to us. We treat any fraudulent use of our brand with utmost seriousness.

Policy Updates

Please be aware that our policy is subject to occasional updates and revisions. Any changes made to the policy will be promptly posted on our website to ensure transparency and keep you informed.
